Executive Assistant

Job Location Minneapolis, Minnesota

The Executive Assistant plays an integral role in our fast-paced, high-growth organization.  This role operates as the primary partner to the SVP, Chief Sales, Services and Strategy Officer and is responsible for managing the day-to-day support needs of the function’s leadership team, as well as contributing to the SVP’s efficiency and effectiveness through insight, planning, and agility.  We are seeking a professional who thrives in a results-driven, fast-paced environment, who can juggle multiple priorities, and who can exercise creativity and good judgement in a variety of situations. 

Primary Responsibilities

  • Demonstrate initiative, discretion and tact to respond quickly to and anticipate needs. 
  • Demonstrate foresight to effectively manage upcoming priorities and ensure the leadership team is prepared to accomplish objectives. 
  • Navigate complex calendaring through Outlook to ensure efficiency and maximum use of leader's time, effectively navigating changing priorities as they occur.
  • Plan and organize travel, proactively anticipating and managing travel-related issues.
  • Plan events to include preparing the agenda, planning logistics, preparing materials, and ensuring that everything runs smoothly during the meeting.  This includes staff and team meetings.
  • Ensure all correspondence is accurate, complete and properly handled.
  • Pursue opportunities to change or lean out processes or approaches.
  • Operate as a liaison between leaders, team members, and cross-functional partners. 
  • Create and collect content to compile PowerPoint presentations. 
  • Build cross-functional internal relationships, including partnering closely with other Executive Assistants who support C-level, VP and Director level leaders.
  • Act as a key partner on special projects as needed.

Position Requirements 

Experience

  • Previous project management, chief of staff or administrative experience, ideally supporting a C-suite member in a 1-1 partnership at high-growth organizations.

Education

  • Four-year degree preferred or equivalent experience

Knowledge, Skills & Abilities

  • Strong communication skills (clarity, spelling, dictation, oral)
  • Ability to establish trust and handle confidential information
  • Strong organizational, planning, scheduling and time management
  • Tenacious and driven
  • Capacity to be aware of, control, and express your emotions, and to handle interpersonal relationships judiciously and empathetically
  • Organized and detail-oriented - creating order out of chaos
  • Experience driving the organizing and preparation of events.  
  • Intellectual curious
  • Strong knowledge and proficiency on Outlook, Microsoft Word, and Excel.  Skilled at creating professional and visually sophisticated PowerPoint presentations.
