DOT Compliance Specialist

Position Purpose 

This position is primarily responsible for Field Services daily Department of Transportation (DOT) compliance operational programs and processes.  This will entail working with 3rd party vendors, Field Services team members and cross-functional partners to enhance the DOT programs. The role will assist in identifying process improvement recommendations for Field Services DOT safety and compliance programs and assist with the creation, refinement and the rollout of DOT compliance standard operating procedures. Additional projects pertaining to DOT compliance ensuring Sleep Number meets all minimum Federal Motor Carrier Safety Association (FMCSA) requirements will be assigned as needed.

Primary Responsibilities

  • Support in the delivery of DOT compliance plans for all of Field Services (i.e. regulation changes that impact Sleep Number, DOT training programs, annual audit processes, etc.).
  • Collaborate with the communications team for ongoing safety and DOT communications; partner with Legal, Internal Audit, Field Services leaders and Human Resources to publish & maintain current driver safety analytics, annual Motor Vehicle Review (MVR) and DOT policies relevant for Field Services.
  • Responsible for Driver Qualification (DQ) file management; ensures completeness, accuracy and ongoing management meets DOT regulations.
  • Administer the Data Quality process to request and track Federal and state data issued by the Federal Motor Safety Carrier Administration (FMSCA) that may be incomplete or incorrect.
  • Maintain current and accurate vehicle files in accordance with DOT regulations.
  • Educate and train Field Services leaders with regards to vehicle & driver safety and compliance policies, processes, and operations. Partner in educating Field Service leaders on DOT compliance policies.
  • Assist with establishing, creating, and refining ongoing modifications to DOT policies, SOPs and training content for Field Services
  • Develop analytical reporting and provide insights to drive efficiency and cost savings to various field services program performance (Telematics, Hours of Service (HOS), vehicle defects, vehicle utilization, fuel reporting, auto insurance claims, etc.)
  • Other duties as assigned

Position Requirements 

  • Four-year BS/BA degree or equivalent work experience
  • DOT certification, desired but not required
  • 1 – 3 years’ experience with DOT regulations, consulting, program management preferred
  • 1 - 3 years’ experience within Field Services, retail environment, logistics or supply chain preferred
  • Takes action/initiative; self-driven; makes decisions with little direction
  • Flexible/adaptable to the changing needs of the work environment or seasonality of the business; demonstrates ability to prioritize multiple projects and/or deadlines
  • Strong follow-up, attention to detail, and strong organization is a must
  • Collaborates; takes partners when needed; builds a cross-functional peer group
  • Computer skills preferred (all MS Office Suite)
  • Excellent written and verbal communication skills, including the ability to deliver difficult messages when warranted
  • Advanced problem-solving skills
  • Team-oriented and strong interpersonal skills, collaborative
  • Innovative, creates recommendations for new concepts or programs to improve safety programs
